Companies do not run only run on financial support; customers are the actual backbone of a company and more satisfied customers means increased sales. So it is actually the customers who are the prime support of an organization.

Having said that, if you have been satisfied by a company’s customer services, there is no harm in taking out a little time and writing a letter of appreciation to them. This will not only make them feel good about their services but will also encourage them to tighten their customer service policy so that more and more customers feel the same way as you do.

If you have been receiving good services from a company on a constant basis, it is all the more reason to appreciate them. Writing a letter to compliment a company’s customer service is the best way to do it as it will be documented. You can give a specific example of an incident or several incidents that prompted you to write this letter and thank the management or a customer service representative for his assistance.

Dear Mr. Hardy:

Crawford Machine Inc. has been providing my company (US Foods) with machinery solutions since August 2005. I have not deviated from my decision to let your company handle my machinery needs for the previous nine years owing to on-time deliveries and exceptional customer services that I have received over the years.

A recent occasion has prompted me to write this letter to you. I had asked Mr. Donald Morrison (Customer Service Representative at Crawford Machinery Inc.) to expedite a small food processor that we had ordered for our office. It was not as big an order as we usually place with your company so I was not expecting it to be given a high priority. I was wrong; Mr. Morrison kept in touch with me constantly to provide me with information of specifications and available models and even though your website specifically mentioned that the delivery time will be between 5 and 7 working days, it was delivered to me the day after I ordered it.

I have always been impressed with your company’s initiative in making an extra effort for its customers and this particular incident has provided me with a chance to compliment your services. Your commitment to exceptional customer services makes it more than worthwhile to maintain a professional relationship with your company.
