A letter from a travel agent to a customer can be written under umpteen dozen circumstances. This may include:

• Introduction of a new travel agency to prospective clients
• Reply to inquiry from customers regarding booking of an itinerary
• Follow up on booking made by the travel agent
• Response to a problem being faced by a client
• Information on new travel packages

As with all letters written to customers, it is important to make it appear as if the customer’s wish is your command. If the customer has asked for a certain itinerary to be booked, it is your job to make sure that the services you provide come as close as possible to what the customer is looking for. Informing the customer that his wishes have been met in a letter is the best way of making sure that he or she will give you return business.

For instance, if you have been asked to book a ticket, you can write a letter to your customer once you are done with the travel arrangements. In such a letter, you will enclose itinerary information and also give details in your letter. If you have gone out of the way to make hotel arrangements for stopovers, make sure you mention it.

When you refer to the enclosure, you will see that I have booked you to fly from Salt Lake City International Airport on August 5, 2015 at 9 am local time. You will fly Emirates – which is considered one of the best airlines in the world. After a short stopover at Dubai International Airport (required for refueling – you will not have to disembark), you will land at Chhatrapatti Shivaji International Airport in Mumbai, India. The total flying time between Salt Lake City and Mumbai is 15 hours 31 minutes.
