When an employee leaves, on good terms or bad, it is necessary for the entire office, if not just their department to know. You can also use the opportunity to announce the new policies in place or the new employee in their place.

If the employee had a critical job such as a manager or team leader, you could mention who his former subordinates with the answer to now that that employee is gone.

If this employee retired after a very long time, you could say a few kind words about the services he/she has done for the office or company.

You can still do this if the employee is leavening on good terms after just a little time at the place. If the employee has left on bad terms, such as being fired or resigned due to some undesirable reason, you can either not tell people that or use his example to make sure that his behavior is not repeated.

Dear Staff:

This letter is to announce, with a heavy heart, that after twenty-nine years of working with us, Mr. Stanley Peter is leaving. He has been with us since the beginning and his services, intellect and resourcefulness have been invaluable to us throughout. He will be difficult to replace, no doubt.

All the employees working directly under him will be answering to me until we find a replacement to take over Mr. Peter’s duties. However, we will still conduct the monthly staff baseball match in his backyard, as this was his only wish while resigning. Since Mr. Peter will be leaving, we will have to be more communicative with each department and document our work more so that the replacement can understand the dynamics of the company easier.

It may be difficult to say goodbye for some of you, as he was a mentor to many in this company and for that very purpose, we are conducting a small company farewell dinner at one of his frequented restaurants. If anyone wishes to come to the dinner, or has any inquiries on how their work will change until the replacement comes, or any questions in general, feel free to meet me in my office or call me at (000) 521-8545. This sort of time comes to pass in every company; we can get through this with our combined effort.
