Sample Letter of Concern to Employee

Your employees are an important asset of your company, therefore, if you feel that an employee is not working well, it is time to address the problem. Simply talking about it or expressing your concern can often make employees get back on their feet.

Letters of concern can be written by CEO, HR managers, immediate supervisors and other people in such positions who may want to inform employees about a performance issue or a deficiency in work. A letter of this sort may be written due to any one of the following reasons:

• Work habits – missed deadlines or punctuality issues
• Personal behavior – uncooperative attitude or gossiping

Once you have figured out what the problem is, it is important to lay it out in front of the concerned employee in a formal letter. Here is how you can do this.

Dear Ms. Hogan:

It has come to my notice that you have been absent from your duty for nine days this month without informing your immediate supervisor. Due to your absence the spa team faced difficulties when dealing with your clients.

This letter is being written to inform you of my concern regarding your work habits which directly affect our fame. We have a strict policy where leaves are concerned. While we do not deny our employees what is their right, we do want to be informed if leave is to be taken so that we can manage our load accordingly.

You have worked for the spa for five years and hold a good track record of performance which is why we will not take any immediate action in this regard. However, if there is a problem that is keeping you from coming into work, please discuss it with us so that an immediate solution can be managed.

Hui Shen Chui Day Spa’s success is dependent on its employees so it is critical that we address this issue right now instead of allowing it to escalate. I am looking forward to a prompt reply from your end.
