Letter to Notify Landlord when Moving Out

Finally moving out of your rented property because you now have a new place to live? Congratulations! But do what is right before you leave – send a notice letter to your landlord to let him know that you are vacating the house. This is important to do for two reasons. The first reason is that you need to let the landlord know about your intent to leave to give him a chance to look for other tenants. Secondly, you need to give him enough notice to arrange for your security deposit money to be returned.

A notice letter to your landlord should be written at least a month before you intend to vacate the house or as per the terms and conditions of the rent deed. You can provide a reason for vacating the house but it is not necessary to do so. You should inform the landlord if there is anything that may need fixing or replacing in the house – if any of it is your responsibility, write down that you will take care of it before you leave. The following sample is written especially for a situation in which a tenant intends to vacate a rented house and is providing notice to the landlord:

Dear Mr. Collins:

Please consider this letter a vacation notice of 89 33rd Street, Fargo, ND that I have presently rented from you. I will be moving into my own house at the end of February and will vacate the said premises latest by February 25, 2015.

Since the tenancy termination date also coincides with the day on which I intend to leave, I believe that things will be simple. I have done a thorough check of the entire house and have found one leaky faucet (first floor bathroom) and one fused bulb (garage), both of which I will fix / replace before I leave. As far as I can see, the house is in as good a condition as it was two years ago when you rented it to me. However, I would like you to personally have a look before I hand over the keys to you.

As the tenancy agreement states, I would appreciate it if you would release the security deposit amount to me on the day that I hand the keys to you. I would like to thank you for renting your house to me and being an amiable landlord. I wish you good luck in finding other tenants for your house and hope that we stay in touch with each other.
