It is only natural that you may require to have an in-depth discussion about your child with their teacher, and there happens to be no parent-teacher meeting coming up. In this case, it is best to schedule your conference with the teacher.

It is always better to write a letter, as the first initiative in this situation, verbal communication of the desire to have a meeting doesn’t work sometimes. You can send the letter and conduct the rest of the communications required to schedule the conference on the phone.

In the letter, you can point out the topics you wish to speak about so the teacher can be well prepared for the conference, and you can also try to bring across why the meeting is important so that the teacher may put it on high priority.

My daughter Alicia is currently studying in the 8th grade at Yellow Rock Middle School, and she is in your homeroom.

I have been noticing that she has been having problems at school with making friends, and her grades are going down alarmingly. I have seen her stare at her books without a clue of what to do, and that worries me. I am writing this letter to ask you if it is possible to arrange a meeting between you and myself and any other relevant staff members from the school.

She used to be quite confident and did great academically; however, I believe that something has changed that. I do not know of any such stimuli from home that may have caused this change in her, so I would like to speak to you about this in depth. Eighth grade is also a big year, so I thought if it was possible if we could arrange a tutor for Alicia; even just a bright student from her class should be sufficient.
