At the workplace, there are certain protocols that you have to follow in order to keep within the groove of things.
For instance, if someone has called you and you were not able to talk, it is your responsibility to call back.
If you haven’t called back, you must apologize to them.
Even if you are sure that what the person called for was not of great importance, you have to remain polite.
It is your ethical responsibility to say sorry and call back.
However, if you have been unable to reach them, it is time to write a letter. In your letter, you may explain why you could not call back.
Be extremely polite, and ensure that your reason for not calling back is genuine.

Apology Letter for not Calling Back
Mr. Andrew Line
Red Rover Inc.
8020 Lake Road
Athens, GA 49012
Dear Mr. Line:
I hope that you are well, despite the immense work pressure that you are under. I have been following the progress of your work quite thoroughly, and I must say that you are doing a phenomenal job.
At this point in time, I am writing to apologize for not being able to get back to you. When you called, I was at the verge of a work crisis, which is why I said I would call you back. Due to the immense pressure of work, and a looming deadline, I completely forgot that I had to call you back. For that, I am extremely embarrassed.
In my defense, I did return your call three days later, but you were not in your office. I left a message on your answering machine. I hope you have had the time to check that. While I am not exactly sure why you called, I have an inkling that it has to do with the one project module that we are working on together.
Please accept my apologies for this fiasco. I am hoping that no adverse effects have been seen because of my inability to reach you on time. If possible, please call me once you have received this letter.
